Job Summary

  • We are seeking a detail-oriented and energetic Event Assistant to support the planning, coordination, and execution of events, as well as assist with related operations such as hall setup and equipment rentals.
  • The ideal candidate will provide administrative and on-ground support to ensure events run smoothly while maintaining high service standards. This role requires strong organizational skills, the ability to multitask, and a proactive approach to problem-solving.

Key Responsibilities
Event Planning Support:

  • Assist in planning and coordinating events from concept to execution.
  • Support in preparing event timelines, checklists, and schedules.
  • Liaise with vendors, suppliers, and service providers as directed.
  • Assist in sourcing materials, décor items, and equipment.

Event Execution:

  • Provide on-site support during events to ensure smooth operations.
  • Assist with event setup and breakdown, including hall arrangements and equipment placement.
  • Coordinate with internal teams (logistics, operations, rentals) during events.
  • Handle last-minute issues and provide immediate solutions under supervision.

Administrative Duties:

  • Maintain records of bookings, client requests, and event details.
  • Assist in preparing quotations, invoices, and event documentation.
  • Follow up with clients and vendors regarding event requirements.
  • Support general office and coordination tasks.

Client & Vendor Coordination:

  • Communicate with clients to understand basic event requirements.
  • Support relationship management with vendors and partners.
  • Ensure all client requests are accurately documented and executed.

Logistics & Inventory Support:

  • Assist in tracking event materials and rental equipment.
  • Ensure proper handling and return of rented items.
  • Support inventory checks before and after events.

Requirements

  • Minimum of OND / HND / Bachelor’s Degree in any relevant field.
  • 1–2 years experience in event planning, hospitality, or administrative support (NYSC experience acceptable).
  • Strong organizational and multitasking skills.
  • Good communication and interpersonal skills.
  • Ability to work flexible hours, including weekends and public holidays.
  • Willingness to work on-site during events.
  • Basic proficiency in Microsoft Office tools.
