Description

  • We are looking for a highly organised, technology-savvy and proactive professional to join our founding team. This is an exciting opportunity to work directly with the Founder and CEO in building a high-growth digital business from the ground up.

Position Summary

  • The Business Operations & Executive Assistant (Founder's Associate) will provide executive support to the CEO while coordinating the day-to-day operations of Learnskils and assisting with strategic initiatives across the CEO's business portfolio.
  • This role is ideal for someone who enjoys solving problems, managing multiple projects and using technology to improve productivity. The successful candidate will play a key role in ensuring the smooth operation of the Learnskils platform while supporting business growth through effective coordination, administration and project management.

Key Responsibilities
Executive & Administrative Support:

  • Prepare meeting agendas, presentations and meeting minutes.
  • Coordinate meetings, travel arrangements and logistics.
  • Track action items and ensure timely follow-up.
  • Manage the CEO's calendar, appointments and meetings.
  • Draft professional correspondence, reports and business documents.
  • Coordinate communications with internal and external stakeholders.
  • Assist with confidential administrative assignments.
  • Maintain organised digital and physical records.

Learnskils Platform Administration:

  • Perform regular website quality assurance checks to ensure links, forms and pages function correctly.
  • Respond to customer enquiries and support requests.
  • Assist with testing new platform features before deployment.
  • Monitor website performance and promptly report technical issues.
  • Manage the Learnskils WordPress website and ensure content remains accurate, current and professionally presented.
  • Manage the WordPress dashboard, media library, menus and user accounts.
  • Coordinate tutor and professional onboarding activities.
  • Publish and maintain website pages, blog articles, courses, resources and other digital content.
  • Support the administration of the Learning Management System (LMS), including learner enrolments, tutor onboarding and course management.
  • Coordinate with the website developer regarding bug fixes, enhancements and new feature implementation.

Project Coordination:

  • Prepare weekly progress reports for management.
  • Maintain accurate project documentation.
  • Escalate issues that may affect project timelines.
  • Monitor deliverables and timelines.
  • Follow up with consultants, developers, freelancers and service providers.
  • Maintain project plans, milestone trackers and implementation schedules.
  • Coordinate multiple projects simultaneously.

Digital Marketing & Communications:

  • Upload blogs, newsletters and promotional content.
  • Coordinate social media publishing schedules.
  • Coordinate webinars and online events.
  • Support the implementation of digital marketing initiatives.
  • Monitor website traffic and campaign performance.
  • Assist with email marketing campaigns.
  • Maintain customer and stakeholder databases.

Business Research & Analysis:

  • Prepare briefing papers and research reports.
  • Research funding opportunities, grants and strategic partnerships.
  • Conduct market and competitor research.
  • Analyse trends relevant to education, technology and professional services.

Cross-Business Support:

  • From time to time, the successful candidate will provide administrative and project coordination support for other strategic business initiatives led by the CEO.

Additional Information:

  • This is a hands-on role in a startup environment. The successful candidate will be expected to contribute across operations, technology, customer support, administration and project coordination as business needs evolve. We are looking for someone who is adaptable, proactive, willing to learn and excited to grow with the organisation.

Qualifications

  • Bachelor's Degree in Business Administration, Information Technology, Computer Science, Marketing, Economics, Public Health, Mass Communication or a related field.
  • Experience working in a startup, technology company, digital platform or fast-paced business environment will be an added advantage.
  • Minimum of two (2) years' relevant experience in operations, administration, executive support, project coordination or digital business management.

Required Technical Skills:

  • Candidates must demonstrate strong digital literacy and the ability to confidently manage a WordPress-based website and other cloud-based business applications.

Essential:

  • Strong internet research skills.
  • Hands-on experience managing WordPress websites, including:
    • Managing media libraries.
    • Creating and editing pages and posts.
    • Installing and updating plugins (where authorised).
    • Updating website content without disrupting layouts.
    • Uploading and formatting website content.
    • Managing menus and navigation.
  • Strong proficiency in Microsoft Office (Word, Excel and PowerPoint).
  • Experience using project management tools such as Trello, ClickUp, Asana, Monday.com or Notion.
  • Proficiency in Canva for creating professional graphics and marketing materials.
  • Experience managing user accounts and website content through the WordPress dashboard.
  • Excellent working knowledge of Google Workspace (Docs, Sheets, Drive, Calendar and Gmail).
  • Strong digital document management and organisational skills.
  • Experience using Elementor or similar WordPress page builders.
  • Strong spreadsheet skills for preparing reports, dashboards and project trackers.
  • Basic understanding of Search Engine Optimisation (SEO) and website content optimisation.
  • Ability to troubleshoot common WordPress issues and effectively communicate technical requirements to web developers.
  • Ability to use AI productivity tools such as ChatGPT and other generative AI applications to improve efficiency.
  • Experience managing an online learning platform using Tutor LMS, LearnDash, LifterLMS or a similar Learning Management System (LMS).

Desirable:

  • Experience with WooCommerce.
  • Familiarity with Google Analytics and Google Search Console.
  • Experience with email marketing platforms such as Mailchimp or Brevo.
  • Experience using CRM platforms.
  • Experience using Power BI or Google Looker Studio.
  • Basic knowledge of HTML and CSS.
