Job Summary

• We are looking for a highly organized, professional, and discreet Confidential Secretary to provide high-level administrative and executive support to senior management (principally the Managing Partner) while maintaining the highest level of confidentiality in handling sensitive information.
• The ideal candidate will possess exceptional organizational, communication, and multitasking skills, with the ability to manage multiple priorities effectively in a fast-paced environment.
• The successful candidate should also be friendly, approachable, and service-oriented, with excellent interpersonal skills and the ability to build positive working relationships with colleagues, clients, and other stakeholders.

Job Responsibilities

• Provide administrative, secretarial and clerical support to maintain efficiency in the MP’s Office
• Maintain office operations by receiving and distributing communications not sent by e-mail
• Picking up and delivering items
• Fax, scan and copy documents pertaining to the MP
• Register and file documents away as required for the MP
• Ensures adequate filing of hardcopy documents and archiving
• Retrieve information when requested by the MP
• Update and maintain databases such as mailing lists, contact lists and client information
• Liaises with courier, procurement and other support services agents for protocol services
• Support office logistics performing work related errands as requested, such as going to the bank
• Assist with CCP events planning and implementation
• Update job knowledge by participating in educational opportunities
• Enhances Group reputation by accepting ownership for accomplishing new and different requests
• Exploring opportunities to add value to job accomplishments
• Performs routine clerical duties as may be assigned by the MP

Requirements

• A good first Degree in Secretarial Studies, Business Management, High School Diploma or equivalent
• 3–5 / 7 years of relevant experience.
• Creativity, innovation and problem-solving skills

• Typing and documentation skills
