Job Title: Document Controller

Location: Lagos

Job Description

  • The wrong drawing on site can cause structural errors; the wrong document can create contractual exposure. This role prevents both.
  • On a multi-block simultaneous build with multiple consultants, many subcontractors, and thousands of drawings and documents, the document control system is not a support function; it is a project safety and quality system.
  • The Document Controller is the information custodian of the project.

Key Responsibilities

  • Manage all incoming and outgoing formal correspondence; ensure all documents are correctly named, numbered, and filed.
  • Archive all project documents progressively; produce the final project document archive at project closeout.
  • Maintain all project correspondence registers: RFI log, Architect's Instruction log, site instruction log, transmittal log, and formal letter register.
  • Ensure that only current-revision drawings are accessible on site; manage the withdrawal and archiving of all superseded drawings.
  • Maintain the master drawing register for all disciplines including architecture, structure, MEP, civil, and specialist; update with every new issue and revision.
  • Issue all incoming drawings from consultants to the site team via the document management system; obtain transmission receipts.
  • Support the Design and Architectural Manager with drawing status reporting.
  • Own and manage the project document management system; ensure all team members use the system correctly and consistently.

Qualifications and Experience
Education:

  • Bachelor's Degree in a relevant field; formal document control training or certification is an advantage.

Experiences:

  • Minimum 6 years of document control experience on major construction projects.
  • Proficiency in Procore, Aconex, or equivalent document management platform.

Skills:

  • Proactive in identifying and correcting document control non-compliance by other team members.
  • Highly organised; thrives in a high-volume information environment.
  • Absolute precision and consistency in document naming, numbering, and filing.
  • Strong MS Office skills; excellent attention to detail.
