We are recruiting to fill the position below:

Job Title: Sales Coordinator

Location: Ikeja, Lagos
Employment Type: Full-time

Job Summary

  • The role serves as the link between the sales, warehouse, logistics, finance, and customer service teams to ensure efficient order fulfillment and exceptional customer service.
  • The ideal candidate will have experience in industries such as FMCG, automobile, lubricants, tyres, spare parts, manufacturing, consumer goods, or any fast-paced sales and distribution environment.
  • The Sales Coordinator is responsible for coordinating sales operations, supporting the sales team, managing customer orders, monitoring inventory, preparing sales reports, and ensuring timely product deliveries.

Key Responsibilities
Sales Operations:

  • Coordinate daily sales activities and provide administrative support to the sales team.
  • Prepare quotations, sales invoices, and other sales-related documentation.
  • Process customer orders accurately and ensure timely execution.
  • Ensure all sales transactions comply with company policies and procedures.
  • Track customer orders from placement through delivery.

Customer Relationship Management:

  • Serve as the primary point of contact for customers regarding orders, deliveries, and product availability.
  • Resolve customer inquiries and complaints promptly by coordinating with relevant departments.
  • Build and maintain strong relationships with distributors, dealers, retailers, corporate customers, and key accounts.
  • Maintain accurate customer records and sales documentation.

Sales Reporting & Analysis:

  • Support forecasting and sales planning activities.
  • Maintain accurate sales databases and dashboards.
  • Prepare daily, weekly, and monthly sales performance reports.
  • Analyze sales trends, customer buying patterns, and product performance.
  • Monitor sales targets and provide performance updates to management.

Inventory & Logistics Coordination:

  • Coordinate with warehouse and logistics teams to ensure timely product dispatch and delivery.
  • Follow up on pending deliveries, back orders, and customer requests.
  • Ensure proper documentation for product dispatch and receipt.
  • Monitor inventory levels and communicate stock shortages to management.

Cross-Functional Coordination:

  • Collaborate with the Marketing team to support promotions, product launches, and sales campaigns.
  • Work closely with Finance to monitor customer payments, credit limits, and outstanding balances.
  • Coordinate with Procurement and Supply Chain teams to ensure product availability.
  • Assist the Sales Manager with distributor onboarding, pricing updates, and promotional activities.

Administrative Duties:

  • Schedule meetings, prepare presentations, and support sales reviews.
  • Monitor sales team expenses and administrative requests where applicable.
  • Ensure timely submission of sales reports and documentation.
  • Maintain accurate sales records, contracts, quotations, and agreements.

Key Performance Indicators (KPIs)

  • Customer satisfaction and response time.
  • On-time delivery rate.
  • Inventory coordination efficiency.
  • Achievement of departmental service-level agreements (SLAs).
  • Reduction in order processing errors.
  • Order fulfillment turnaround time.
  • Sales data accuracy.
  • Sales order processing accuracy.
  • Distributor and dealer support effectiveness.
  • Sales reporting accuracy and timeliness.

Qualifications

  • Bachelor's Degree in Business Administration, Marketing, Sales, Economics, or a related discipline.
  • Professional certification in Sales or Marketing is an added advantage.

Experience::

  • 3–5 years of experience as a Sales Coordinator, Sales Support Executive, Sales Administrator, or similar role.
  • Experience in FMCG, automobile, lubricants, tyres, spare parts, manufacturing, consumer goods, or related industries is required.
  • Experience working with distributors, dealers, wholesalers, and retail channels is highly desirable.

Technical Skills:

  • Experience using ERP systems such as SAP, Oracle, Microsoft Dynamics, Odoo, Sage, or similar.
  • Ability to generate and interpret sales reports and KPIs.
  • Advanced proficiency in Microsoft Excel (Pivot Tables, XLOOKUP/VLOOKUP, dashboards, and data analysis).
  • Experience with CRM software is an added advantage.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook).

Preferred Candidate Profile:

  • Good understanding of sales distribution networks and channel management.
  • Strong commercial awareness and customer-focused mindset.
  • Experience supporting field sales teams across multiple territories.
  • Proactive, organized, and capable of working under pressure to meet deadlines.
  • Ability to coordinate high-volume transactions while maintaining accuracy.
