Job Title: Executive Assistant To The CEO

About the Role

  • The right candidate anticipates needs before they arise, thrives under pressure, communicates crisply, and ensures the Founders’ time, focus, and execution are aligned with organizational priorities.
  • This individual will provide strategic, operational, and administrative support to the founders of a fast-growing digital health and AI-enabled organization operating across multiple geographies.
  • We are seeking a world-class Executive Assistant to the Founders, similar in caliber to an EA at top-tier firms such as McKinsey, Bain, BCG, or leading technology companies.
  • This is not a traditional administrative role: it requires exceptional judgment, ownership, attention to detail, confidentiality, and the ability to manage complex priorities in a fast-moving environment.

Key Responsibilities
Executive Support & Time Leadership:

  • Manage complex calendars across multiple time zones; proactively resolve conflicts.
  • Ensure the founders are fully briefed and prepared for meetings, including pre-read documents, talking points, and follow-up actions.
  • Manage sensitive communications and maintain strict confidentiality.
  • Drive time prioritization based on strategic priorities, and protect focus time.

Communications & Coordination:

  • Serve as the primary liaison between the founders and internal/external stakeholders, ensuring timely, professional, and accurate communication.
  • Follow up on open items and action points with teams to ensure timely execution.
  • Draft high-quality emails, memos, and presentations on behalf of the founders.

Operational Excellence:

  • Support special projects where precision and speed matter.
  • Coordinate travel logistics end-to-end across multiple countries.
  • Maintain organized records, files, and documentation across platforms.
  • Build and manage systems that improve the efficiency of the founders’ workflows (e.g., trackers, dashboards, document management, meeting notes).

Strategic Support:

  • Conduct background research, synthesize information, and prepare briefing notes.
  • Support preparation for board meetings, donor meetings, investor conversations, and key presentations.
  • Help drive follow-ups on strategic initiatives, ensuring nothing falls through the cracks.

Culture, Professionalism, and Representation:

  • Maintain a calm, solutions-oriented demeanor at all times.
  • Model high performance, reliability, and impeccable work ethic.
  • Represent the founders with extreme professionalism, maturity, and discretion.

Qualifications Essential

  • 5–8+ years supporting C-suite executives or senior partners in demanding organizations (top-tier consulting, high-growth startups, investment firms, etc.).
  • Exceptional written and verbal English communication skills.
  • Bachelor’s degree required; Master’s degree is a plus.
  • Excellent judgment, discretion, and emotional intelligence.
  • Mastery of productivity tools (Google Workspace, Slack, Zoom, project management tools, document versioning systems).
  • Evidence of producing high-quality work under tight deadlines.
  • Highly organized, proactive, and able to manage multiple priorities independently.

Preferred:

  • Strong research skills and ability to produce crisp briefs.
  • Experience working with globally distributed teams.
  • Ability to analyze information, synthesize it clearly, and support decision-making.
  • Background in digital health, technology, consulting, or social impact organizations.

  • Professional, timely representation of the founders with internal and external stakeholders.
  • Founders consistently feel informed, prepared, and supported.
  • Zero missed deadlines, dropped balls, or errors in communication.
  • Improved coordination, meeting quality, and follow-through across the organization.
