We are seeking a Clinical Admissions Coordinator for our U.S.-based client, a skilled nursing facility group that provides long-term and post-acute care across multiple locations in the United States. In this role, you will support the centralized admissions team by reviewing incoming patient referrals, coordinating admission-related processes, interpreting clinical documentation, and completing the back-end tasks required to convert accepted referrals into finalized admissions. While previous admissions experience is highly advantageous, we also welcome candidates with strong healthcare administration or clinical support experience who are eager to learn and develop within the role. PLEASE NOTE Working Hours: This position operates on a rotational shift schedule between Monday and Sunday, supporting U.S. operations. You will work a 45-hour work week, with shift schedules communicated in advance and subject to operational requirements. The team provides coverage during the following operating hours: Monday to Friday: 5:00 PM – 2:00 AM SAST Saturday and Sunday: 3:00 PM – 12:00 AM (Midnight) SAST Important: These are the team’s operating hours and not fixed working hours. Two team members will work rotational shifts to provide coverage across these hours, with schedules communicated in advance. Public Holidays: This role requires working on both South African and U.S. public holidays (South African public holidays will be compensated in accordance with the BCEA). Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps upload and download, together with a wired Ethernet connection, is mandatory. Applicants without a fixed fibre connection cannot be considered. Power Backup: Reliable backup power (UPS, inverter, generator, or solar) is required to support your equipment and internet connection during power outages. Applicants without a power backup cannot be considered. Work Environment: This is a fully remote position. Job Responsibilities: Review incoming patient referrals and assess them against facility admission criteria. Process referrals promptly, ensuring turnaround times are met, as referrals are often sent to multiple facilities simultaneously. Complete back-end admission processes following clinical approval, including: Insurance verification Medication reviews Authorization processing Compile completed documentation into admission packets and upload them into the system to finalize admissions. Liaise closely with U.S.-based teams to resolve queries and ensure referrals progress without delays. Maintain accurate and up-to-date records within the CRM system. Support daily admission conversions while meeting required turnaround times and quality standards. As you become established in the role, receive training to progressively review and interpret patient charts, including therapy notes, nursing notes, assessments, evaluations, and other clinical documentation to support future admission decisions. Requirements: Previous experience within healthcare administration, patient coordination, medical administration, admissions, insurance verification, referral coordination, or a similar healthcare support role. Comfortable reading and interpreting medical documentation, clinical notes, patient histories, or healthcare records. Experience verifying medical insurance, obtaining authorizations, or coordinating patient admissions will be highly advantageous. Previous exposure to a hospital, rehabilitation facility, skilled nursing facility, long-term care environment, medical practice, or healthcare organization is highly advantageous. Excellent verbal and written English communication skills. Highly organized with exceptional attention to detail. Strong critical thinking and problem-solving abilities. Able to work efficiently in a fast-paced, deadline-driven environment. Proficient in Microsoft Office and Outlook. Previous admissions or referral coordination experience within a medical facility, hospital, rehabilitation centre, or skilled nursing facility would be highly advantageous.
