Job Title: Front Desk & Admissions Officer

Job Description

  • The successful candidate will work closely with the Head of Marketing to generate, nurture, and convert prospective parent inquiries into enrollments.
  • The Front Desk & Admissions Officer serves as the first point of contact for parents, visitors, and prospective families.
  • This role plays a significant part in supporting the school's admissions targets and maintaining excellent relationships with both prospective and existing parents.
  • The role is responsible for delivering an outstanding reception experience while managing the admissions journey from initial enquiry to successful enrolment.

Key Responsibilities

  • Prepare admission letters, invoices, enrolment packs, and other admissions-related correspondence.
  • Respond promptly to all admissions enquiries and follow up with prospective families to maximize enrollment opportunities.
  • Coordinate admissions assessments, interviews, appointments, and enrolment documentation.
  • Manage the admissions process from enquiry through successful enrolment.
  • Prepare weekly and monthly admissions, enquiry, and visitor reports for management.
  • Ensure the reception area is organised, welcoming, and reflective of the school’s professional standards.
  • Provide administrative support to the Head of School and other departments as required.
  • Manage visitor access in accordance with the school’s safeguarding and security procedures.
  • Work closely with the Head of Marketing to execute admissions campaigns, marketing initiatives, Open Days, exhibitions, community engagement activities, and other pupil recruitment programmes.
  • Serve as the first point of contact for all walk in visitors, telephone calls, emails, website enquiries, and WhatsApp enquiries.
  • Maintain strict confidentiality of pupil, parent, staff, and school information.
  • Conduct personalised school tours for prospective parents and guardians, showcasing the school's facilities, programmes, learning environment, and unique value proposition.
  • Maintain accurate admissions records, enquiry databases, and visitor logs.
  • Welcome parents, visitors, pupils, vendors, and other stakeholders in a professional, courteous, and friendly manner.
  • Build and maintain positive relationships with prospective and existing parents to enhance parent satisfaction and pupil retention.
  • Support initiatives that contribute to achieving the school’s annual enrolment and retention targets.

Key Performance Indicators (KPIs)
Performance will be measured against:

  • Number of admissions enquiries managed.
  • Enquiry to enrolment conversion rate.
  • Contribution to pupil enrolment and retention targets.
  • Quality of school tours and visitor experience.
  • Professionalism and effectiveness at the front desk.
  • Accuracy and completeness of admissions records.
  • Timely response to enquiries.
  • Parent satisfaction and customer service feedback.

Qualifications and Experience

  • Strong interpersonal, organisational, and customer relationship management skills.
  • Experience using admissions management systems or CRM software will be an added advantage.
  • 2 to 5 years' relevant experience in admissions, front desk administration, customer service, hospitality, or administrative support. Previous experience in a school environment will be an added advantage.
  • Excellent written and verbal communication skills.
  • A Bachelor's Degree from a reputable, accredited university with a strong academic record (minimum of Second Class Upper Division or equivalent preferred).
  • Proficiency in Microsoft Office applications, Google Workspace, and digital communication tools.
