We are recruiting to fill the position below:

Job Title: Female Executive Assistant to the Managing Director

Location: Lagos
Employment Type: Full-time
Reporting Line: Reports directly to the Managing Director.

Job Summary

  • The Executive Assistant to the Managing Director provides high-level administrative, operational, and strategic support to ensure the efficient management of the MD’s office and seamless coordination of business activities.
  • The role requires exceptional organizational skills, professionalism, confidentiality, and the ability to manage multiple priorities in a fast-paced energy and infrastructure environment.

Key Responsibilities
Executive & Administrative Support:

  • Screen, prioritize, and manage incoming emails, calls, and correspondence.
  • Prepare professional reports, presentations, letters, and other business documents.
  • Organize internal and external meetings, including preparation of agendas, minutes, and follow-up actions.
  • Manage and coordinate the Managing Director’s calendar, appointments, and meeting schedules.
  • Coordinate travel arrangements, accommodation, visas, and itineraries for the MD.

Strategic & Business Support:

  • Conduct research, compile data, and provide insights to support strategic decision-making.
  • Support the preparation of board papers, management reports, and investor presentations.
  • Follow up with internal teams to monitor project progress and ensure timely execution.
  • Track key business initiatives, projects, and deadlines on behalf of the MD.

Stakeholder & Office Coordination:

  • Coordinate communication with regulators, investors, consultants, partners, and service providers.
  • Support the planning and execution of executive meetings, events, and corporate engagements.
  • Maintain organized digital and physical filing systems for easy document retrieval.
  • Serve as a liaison between the MD and internal/external stakeholders.

Confidentiality & Governance:

  • Ensure compliance with company policies, governance procedures, and documentation standards.
  • Handle confidential and sensitive information with a high level of discretion and professionalism.

Qualifications & Experience

  • 3–5 years’ experience supporting senior executives or management teams.
  • Experience within the energy, infrastructure, oil & gas, or engineering sector is an added advantage.
  • Bachelor’s degree in Business Administration, Management, Communications, or a related field.

Skills & Competencies:

  • High level of professionalism, discretion, and confidentiality.
  • Strong research, reporting, and presentation preparation skills.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Problem-solving mindset with a proactive approach to tasks.
  • Excellent written and verbal communication abilities.
  • Ability to multitask and work effectively under pressure.

Salary
N200,000 – N230,000 per month.
